Church Council (Board of Trustees)

The bylaws (as amended at the May 2007 Annual Meeting) provide for an eleven member elected Board of Trustees, known as the Church Council: two Co-Chairs, a Clerk, a Treasurer, two At-Large Members, and five Standing Committee Representatives. All eleven members are elected at the Annual Meeting. The Treasurer serves as the representative from the Finance Committee.

Responsibilities of Committees

Buildings and Grounds Committee

Responsibilities:

• Oversee routine maintenance of the church building
• Evaluate ongoing maintenance and changing needs of the church building
• Make financial requests to the Church Council for major repairs
• Coordinate “work parties” of the members of the congregation for building maintenance
• Develop yearly budget for building repair and maintenance

Finance Committee

Responsibilities:

• Develop annual church budget
• Advise Church Council when financial requests are made by committees
• Support Church Treasurer
• Maintain pledge and contribution records; mail statements to members

Committee Member Responsibilities:

1. Meet approximately 4 times during year, principally to work on budget.

2. About once per month, some members process Sunday collections (enter data into database, deposit funds in bank).

Life Span Education Committee

Responsibilities:

• Attend monthly meetings
• Monitor/oversee religious education for the children of the congregation
• Coordinate and select adult education opportunities for the congregation and its friends
• Assist in developing/selecting curricula for the religious education program
• Develop a yearly budget to submit to the Church Council for the yearly financial needs of the Life Span Education Committee

Membership Development Committee

Responsibilities:

• Organizing and coordinating the Sunday “greeters”; write and maintain the written Greeters' Guide
• Updating and publishing the church directory
• Gathering information about the following things:
• Attendance at services
• New people who come
• People who have stopped attending
• People who want to receive the newsletter
• Coordinating and helping to organize New Member Sunday, including a new member breakfast with Church Council and Minister
• Provide information about the church through pamphlets, brochures, photo gallery of members and friends, pew cards, name tags, and the website
• Organizing New Member Breakfasts to coincide with New Member Sundays as a way of introducing new members to various committees and the Church Council
• Help newcomers feel welcome and comfortable, providing informal 'buddy' guidance and invitations to a dinner with church members

Services Committee

Responsibilities:

• Plan services, identify potential speakers within and outside the congregation
• Determine who will coordinate services and contact speakers
• Coordinate services with church calendar to determine topic/theme for particular services
• Review services of past month
• Develop list of speakers: follow up on suggestions, contact potential speakers, etc.
• Develop/update informational materials for service coordinators to give to speakers
• Plan speaker’s training for potential speakers in congregation
• Identify alternative solutions for controversial issues such as length of an how to conduct joys and concerns, whether or not to applaud during service, etc.
• Develop annual survey for the congregation, collate responses
• Attend to physical space of sanctuary – chair arrangement, podiums, season decorations, aesthetics, flowers
• Maintain service items – matches, container for burnt matches, chalice, lamp oil and wicks, offering baskets, chimes
• Identify ongoing needs for service – amplification/taping equipment, hymnal purchase
• Develop annual budget and strategic plan

Service Coordinator Responsibilities:

• Call potential Speakers, schedule
• Inform them about service structure, send speaker information letter
• Determine which service elements speaker will be responsible for
• Arrange coverage of elements speaker won’t do
• Send service descriptions to Douglas Coffin for newsletter and to Cassie Snyder for newspapers
• Coordinate music with Lila if speaker chooses not to
• Write order of service and send to Maret
• At service:
• Orient speaker to building, introduce to person taping, get chair and water
• Introduce service (welcome, announcements, intro of guests)
• Optional: conduct regular service elements (i.e. opening words, joys & concerns, offering)
• Arrange payment for speaker, write thank you note

Responsibilities of the Music subgroup:

• Supervise and support choir director
• Supervise and support accompanist
• Complete yearly evaluations for both (?)
• Submit yearly budgets
• Make financial requests to Church Council for significant purchases

Social Justice Committee

Responsibilities:

• Coordinate social action activities of the church both within the church community and the larger community beyond the congregation

Volunteer Coordination Committee

Responsibilities:

• Identify needs for represented and non-represented committees
• Identify ongoing jobs that are needed to be performed for the church to function
• Match congregation attendees to these positions
• Develop P.R. to stimulate members and friends to serve the church in those capacities

Committee Member Responsibilities:

• Attend one meeting per month
• Assist with announcements in bulletin or newsletter or in church
• Help identify and be willing to approach at least 3-4 people, each month, to request their participation in various committees and projects
• Be alert to both unmet needs and to potential volunteers
